LEGAL CLERK
Position Overview:
The Office of the Prosecuting Attorney Clerical Legal Assistant (CLA) is responsible for executing office procedures to ensure smooth, effective and efficient operation of the Office of the Prosecuting Attorney and is responsible for completing all assigned tasks under the Assistant Prosecuting Attorney (APA) and Prosecuting Attorney (PA) supervision.
The CLA reports to the Office Manager (OM) and ultimately the Prosecuting Attorneys (APA & PA). The duties include maintaining office services, including computer networking, telephone and fax, internal and external communications, data entry and computer skills, database, case management system operations and file management. The CLA is a public “face” of the PA’s Office, and must always be efficient, professional and composed.
Typical work hours are Monday-Friday 8:00 to 5:00
Education and Experience:
High School Diploma or GED required
Microsoft Office experience preferred
Microsoft Excel experience preferred
Customer Service experience preferred
· 2 relevant years of experience
Legal Assistant general responsibilities include the following:
· Be capable and willing to spend long hours sitting or standing and using office equipment and computers, which can cause muscle strain and/or fatigue,
· Be capable and willing to lift and move office supplies, materials and files on a daily basis, and be capable of lifting at least 40 pounds unassisted,
· Be capable and willing to cope with interruptions from e-mail, case management system and the telephone, personal contact with constituents and office staff,
· Maintain confidentiality by avoiding gossip or discussing open or closed civil or criminal cases or open or closed investigations,
· Interact courteously and tactfully with office staff, supervisors, colleagues, court staff, constituents, law enforcement, the media and the public,
· Meeting all deadlines as assigned,
· Obtaining & maintaining current bond and licensure as a Missouri Notary, and
· Maintain appropriate training, security clearance and certification for MULES, WebCACS, Secure Case.net and/or other programs.
· 9. Maintain a high level of training and proficiency with Prosecutor by Karpel (PBK), as well as Microsoft Word and Excel, FoxIt PDF, Adobe Acrobat, and numerous web browsers.
· 10. Obtain or maintain certification as a Legal Secretary.
Clerical Legal Assistant job-specific responsibilities include the following:
Information and Data Entry – PBK and Case.net
Review, sort and prepare for action on all Missouri Courts.net E-Filing notices
Download documents into PbK
· E-Filing
Update Court dates in PbK
Manage reminders to all attorneys and staff
Upload PDF’s to Case.net in an accurate, efficient, timely manner
Create & edit basic documents for submission to the Court upon approval
Update Attorney and Staff Calendars using Microsoft Outlook & Physical Tools
Short-term and medium-term scheduling for attorneys, staff
Maintain and coordinate physical and electronic case files, including long-term storage and organization
Ensure all Court dockets and logistics are complete (Venues, Courtrooms, etc.)
Trial, Hearing scheduling
Make sure case files are complete with PbK entry of all data from LE Agencies
Monitor cases set for hearing/trials and maintain “go/no-go” status updates
· Receptionist
Greet and welcome office visitors – professionals, victims, witnesses and others
Answer Phones
Maintain Victim and Witness Mailbox and Messages (daily)
Ensure Master Calendar of Hearings & Trials is updated and color-coded
Manage storage & control of files (investigation, active, probation, closed)
· Clerk
Ensure payments are made, logged, and disbursed with Legal Assistants
All payments must be tracked using PbK system with accurate receipts
· Reciprocity of Job Duties
Maintain the ability to perform functions of legal assistant, restitution coordinator, when another employee is not present to ensure office efficiency.
Coach other employees to encourage and allow them to perform this job.
Have the ability to work with individuals in crisis/trauma, and explain court system basics to involved parties
· Perform other duties as assigned by the PA and APA.
